Minutes of the business meeting

of October 6, 2009

 

I. The business meeting was called to order at 6:39 PM by President Ron Hartman.

Members attending: President Ron Hartman, Vice-president Steve Grenot, Treasurer Dennis McDermott, Secretary Reed Ostrander; Members Banks Edwards, Marian Johnson, Bill Little, Bob Murphy, Jackie Nelson; Visitors Curtis Boudreaux, Tyler Walker.

            A. Announcements

1. Train sets for Toys for Tots are ready at $30.00 per set. Members should pay for the sets they ordered as soon as possible. You can pay the Club treasurer or Marion directly.

2. The next meeting will include officer nominations. If you would like to serve, please indicate your intentions to Elections Chairman Marion before or at the next meeting.

3. We will pack the trailer for the Fair on Saturday October 17, ‘09. This is critical so be at Ron’s daughter’s garage at 1:00 PM (call Ron for directions).

B. Minutes of the previous meeting of September 15, 2009 were read by Secretary Reed Ostrander.

                        1. Dennis moved acceptance and seconded by Banks.

                                    a. The minutes were accepted as written.

            C. The treasurer’s report was presented by Dennis McDermott

                        1. As of this date there is $1584.66 in the treasury.

2. Dennis noted that there has been no request for payment for our risk insurance from the N gauge club. He will not ask again.

a. Reed suggested that the President contact the N gauge club and see what the status is of the insurance is before the next show.

                                                1) (Ron called the insurance company and we are covered.)

                                    b.  Reed moved acceptance, seconded by Steve.

                                                1) The report was accepted as presented.

            D. Old Business

                        1. The Dothan show was very good and a lot of fun for all attending.

                                    a. We received $100.00 for attending.

b. There were about seven other layouts of various gauges. The Pensacola layouts had the best scenery and we received many compliments from the public. There was a lot of interest in the bridge. Public attendance was very good on Saturday.

2. We have been allotted only four VIP parking permits plus 10 regular permits for the Interstate Fair.

                                    a. Ron is going to try and get some additional VIP permits.

                        3. We will need everyone for setting up at the Fair. Please do your best to help.

                                    a. We will begin setting up on Sunday Oct. 18 at 1:00 PM.

                                    b. Set up will continue for the next 3 days.

                                    c. The Fair will begin at 4:00 PM on Thursday Oct 22.

                                    d. The Fair schedule is as follows:

                                                1) Weekdays 4:00 PM to 10:00 PM.

                                                2) Weekends 10:00 AM to 10:00 PM.

                                    e. The Fair will end on Saturday Oct. 31 at 10:00 PM.

f. Take down will begin Sunday, Nov. 1 at 1:00 PM or sooner if you can make it.

g. We need to get coverage for all open hours. Ron will send an email requesting the hours you can cover.

4. Reed and Ron have been modifying the yard modules. If you would like to help, drop by the garage at Ron’s daughter’s house (call Ron for directions) about 2:00 PM any afternoon this and next week.

5. Steve noted that we should clean up the old clubhouse and move the AC unit into Marie’s house.

            E. New Business

                        1. There was no new business

            F. The meeting was adjourned at 7:22 PM
